Under the responsibility of the associate and in collaboration with the members of the department, the incumbent will carry out various administrative tasks to contribute to the optimal functioning of the teams. They will interact daily with several members of the department as well as with customers. This job occasionally requires a replacement at the reception desk (lunch, end of day, vacations).

  • Respond to various requests from the associate and other department members;
  • Manage the mandate planning file (Workflow) and make the appropriate updates;
  • Day-to-day communication (telephone and e-mail) with partners, employees and customers;
  • Create customer files and submit documents for signature via the internal portal;
  • Scan, file, receive, send and archive tax forms and signed authorizations;
  • Prepare and forward powers of attorney to customers for signature;
  • Manage incoming and outgoing mail;
  • Follow-up with customers;
  • Assists with file turnover on Caseware;
  • Participate in T1/T3 season as required;
  • Print and transmit T1/T2/T3/T5013 tax returns and other special forms;
  • Various administrative tasks: opening customer files and records, internal research, updating databases, occasional replacement at reception, etc.

  • Professional experience relevant to the position;
  • Experience in a professional services environment (a definite asset);
  • Excellent knowledge of MS Office suite (PowerPoint, Word, Excel, Outlook);
  • Very good facility in a technological environment and learning new software;
  • Ability to manage several mandates simultaneously;
  • Dedicated team player, resourcefulness, willingness to learn, discretion, sense of responsibility and priorities, adaptability and flexibility are essential to the success of this position;
  • Strong sense of commitment to colleagues, customers and assignments.
