Reporting to a tax partner and working in collaboration with members of the department, the incumbent will carry out various administrative tasks to contribute to the optimal functioning of the teams. They will be assigned according to the needs of the various departments when replacing vacancies or work overload, and will then interact on a daily basis with associates as well as customers. This job occasionally requires a replacement at the reception desk (lunch, end of day, vacations) and a presence 3 to 4 days a week at the Montreal office.

- Assist in managing partners’ agenda (room reservations, invitations to customer meetings, follow-up with participants, etc.);
- Carry out daily follow-ups with collaborators, partners and clients on the progress and timeliness of various tasks (company buy-sell, corporate reorganization, tax returns, etc.);
- Day-to-day communication (telephone and e-mail) with partners and customers;
- Manage large volumes of documents received from staff, partners, customers and tax authorities (reception, scanning, filing and dispatch);
- Revise, write and format various documents (letters of intent, memorandums, etc.);
- Create customer files and submit documents for signature via the internal portal;
- Manage incoming and outgoing mail;
- Follow up with customers on various issues, including signatures (mandate letters, tax returns) and unpaid invoices;
- Participate in T1/T3 season as required;
- Design and layout PowerPoint presentations;
- Meet the diverse needs of department members;
- Various administrative tasks: opening customer files and records, invoicing, internal research, updating databases, filling in at reception, helping the team of administrative assistants, etc.
- DEC in secretarial science or relevant studies;
- Minimum 5 years’ experience in a similar position;
- Experience in a law firm (a definite asset);
- Excellent knowledge of MS Office suite (PowerPoint, Word, Excel, Outlook);
- Perfect command of French and English (spoken and written);
- Ability to manage several mandates simultaneously;
- Dedicated team player, willingness to learn, discretion, sense of responsibility and priorities, adaptability and flexibility are essential to the success of this position;
